Its key functions include administrative support, office supplies management, travel and stay arrangements, facility and hostel management, building maintenance, and coordination of events, workshops, and juries.

Required Education Qualification and Years of Experience

  • Graduation in any stream.
  • Additional certification in Data Analysis or course in MS Office will be an added advantage.
  • Minimum 3 to 5 years of experience in document control and executive assistance or a similar administrative role.
  • Experience in an educational institution, corporate office, or project-based organization will be preferred.

Position Overview

The Document Controller will be responsible for maintaining and managing all documentation related to administration, and providing high-level administrative and executive support. The role requires exceptional organizational skills, attention to detail,
proficiency in Microsoft Office applications, and the ability to handle multiple tasks efficiently. The document controller will assist the CAO in calendar scheduling, coordination,
preparing reports, PPT’s and follow-ups.

Key Responsibility Areas (KRAs)

 

Document Control & Management

  • Maintain and manage all administrative documents in both physical and electronic formats.
  • Ensure proper version control, document numbering, and filing systems are implemented and maintained.
  • Track, retrieve, and distribute documents as required, ensuring confidentiality and accessibility.
  • Coordinate with different departments to collect, review, and update records.
  • Maintain a master log of controlled documents such as contracts, agreements, SOPs, and technical records.
  • Regularly back up and archive important documents as per company policy.
  • Ensure compliance with document control procedures and organizational policies.
  • Manage and maintain the reporting manager’s calendar, schedule meetings, appointments, and travel itineraries.
  • Prepare meeting agendas, minutes, and follow-up action trackers.
  • Handle confidential correspondence, draft emails, letters, and reports.
  • Coordinate internal and external meetings, including logistics, documentation, and communication.
  • Provide administrative support in preparing presentations, reports, and data sheets using MS Excel, Word, and PowerPoint.
  • Monitor deadlines and ensure timely follow-ups on pending tasks, commitments, and correspondence.

  • Strong command over Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Proficiency in data management, formatting, and reporting using Excel (formulas, pivot tables, charts).
