About Office of Administrative Affairs

The Administrative Affairs office creates, encourages, and maintains an environment that supports, develops and sustains the wellbeing of the University’s employees, students, and the larger
community of its stakeholders. The major functions of the Office of Administrative Affairs include but
are not limited to the following:

  • Provide administrative support services to all offices of the University.
  • Manage stock of office supplies and place orders when necessary.
  • Manage travel & stay arrangements.
  • Facility Management at University campus and University Hostels.
  • Building repair & maintenance.
  • Event management, Workshops/Jury Management.

Required Education Qualification and Years of Experience:

  • Bachelor’s degree in Business Administration, Hospitality Management, or related field preferred
  • At least 3 years

Key Responsibility Areas (KRAs)

    Travel Coordination:

  • Facilitate travel arrangements including flights, accommodations, ground transportation, and any necessary visas or travel documentation.
  • Collaborate with travel agencies, airlines, hotels, and other vendors to secure the best rates and accommodations.
  • Ensure compliance with university policies and guidelines regarding travel expenses and approvals.
  •  
    Support and Assistance:

  • Act as the primary point of contact for all travel-related queries and assistance.
  • Provide guidance and support to travellers regarding travel itineraries, documentation requirements, and travel insurance.
  •  
    Expense Management:

  • Manage and process travel-related expenses, ensuring accuracy and adherence to university policies.
  • Maintain records of travel expenses and prepare reports for budgeting purposes.
  •  
    Communication and Collaboration:

  • Liaise with various departments, faculty, and administrative staff to understand travel needs and requirements.
  • Communicate effectively with external vendors and service providers to ensure smooth execution of travel plans.

    Policy Implementation and Compliance:

  • Stay updated on travel regulations, policies, and procedures to ensure compliance.
  • Assist in developing and updating travel policies and guidelines for the university.

Key Skills:

  • Proven experience in travel coordination, preferably in an educational institution or corporate setting.
  • Proficiency in travel management software and MS Office Suite.
  • Attention to detail and ability to work under pressure in a fast-paced environment.
  • Knowledge of travel industry trends and best practices.
  • Customer service-oriented approach with a focus on enhancing the travel experience for all stakeholders.
