About the Role

The Executive – Office of the Provost will be responsible for managing the day-to-day operations, calendar, and coordination functions within the Office of the Provost. This is a high-responsibility role that supports the academic leadership of the University by ensuring smooth workflow, effective scheduling, professional documentation, and timely follow-through on key initiatives.

This is a role for someone with both vision and precision, who combines strategic thinking with attention to detail, enjoys setting up efficient systems and thrives in a collaborative and creative environment.

Required Skills, Educational Qualification and Years of Experience

  • Bachelor’s/Master’s or equivalent in management, education, administration or a related field.
  • 5–7 years (Sr Executive) or 2–4 years (Executive) in an educational setting in India or abroad with proven experience in academic administration, executive assistance, operations or coordination roles.
  • Exceptional organisational, time-management and scheduling abilities with a high level of discretion and reliability.
  • Strong communication and collaboration skills with proficiency in drafting formal documents and managing digital tools (MS Office, Google Workspace), maintaining confidentiality at all times.

Key Responsibility Areas (KRAs)

  • Maintain the Provost’s daily and long-term schedule, prioritising key meetings and coordinating across departments.
  • Handle scheduling logistics with tact, ensuring balanced time for strategic thinking, meetings, travel and institutional responsibilities.
  • Oversee the workflow within the Office of the Provost, ensuring timely communication, document movement and tracking of decisions and tasks.
  • Maintain institutional trackers, approval pipelines and internal coordination systems.
  • Organise meetings, retreats and academic events led by the Provost’s Office.
  • Prepare agendas, maintain minutes, and track follow-up actions and deadlines.
  • Draft formal notes, internal emails, policy updates and official documentation as required by the Provost.
  • Maintain well-organised digital records and institutional files.
  • Act as a point of contact between the Provost’s Office and Deans, faculty members, students and external partners.
  • Support the Provost’s engagements with statutory bodies, collaborators and regulatory agencies.
  • Assist in planning, logistics, and reporting related to academic development, quality assurance and special institutional projects.
  • Ensure the Office operates in an environmentally and socially responsible manner.
  • Support strategic initiatives as assigned by University leadership.
