About Office of Administrative Affairs

The Administrative Affairs office creates, encourages, and maintains an environment that supports, develops and sustains the wellbeing of the University’s employees, students, and the larger community of its stakeholders. The major functions of the Office of Administrative Affairs include but are not limited to the following:

  • Provide administrative support services to all offices of the University.
  • Manage stock of office supplies and places orders when necessary.
  • Manage travel & stay arrangements.
  • Facility Management at University campus and University Hostels
  • Building repair & maintenance
  • Event management, Workshops/Jury Management

Required Education Qualification

Bachelor degree in facility management, estate management, civil engineering or a related field.

Years of Experience

5-7 years of experience in property management, facility management, or a similar role, preferably within a university or a large institutional setting.

Key Responsibility Areas (KRAs)

Facilities Management
 

  • Oversee the day-to-day operations of the university’s estate, including maintenance of academic, residential, and administrative buildings.
  • Ensure the campus grounds and facilities are well-maintained, safe, and in compliance with health and safety regulations.
  • Manage maintenance staff and external contractors to carry out repairs, renovations, and other building works.
  • Oversee energy management and implement sustainable practices to improve energy efficiency and reduce costs.

 

Health, Safety, and Compliance
 

  • Ensure compliance with all health and safety regulations, including fire safety, environmental laws, and building codes.
  • Implement regular inspections, risk assessments, and emergency planning for the university’s estate.
  • Liaise with regulatory authorities to ensure that all required permits and licenses are maintained.

Strategic Planning and Development
 

  • Develop and implement long-term strategies for the maintenance and development of the university’s estate.
  • Work with university leadership to align estate management with the university’s strategic goals.

 

Team Management
 

  • Lead and manage a team of facilities staff, including maintenance workers, cleaners, security personnel, and external contractors.
  • Ensure that staff are well-trained, motivated, and supported in their roles.
  • Conduct regular performance evaluations and promote professional development opportunities for team members.

 

Stakeholder Relations
 

  • Collaborate with academic departments, administrative staff, and external partners to address estate-related needs.
  • Serve as the main point of contact for any estate-related inquiries from university leadership, staff, students, and external stakeholders.

 

Budget and Resource Management
 

  • Prepare and manage the estates and facilities budget, ensuring cost-effective operation of the estate services.
  • Procure services, equipment, and materials necessary for the upkeep and improvement of university properties.
  • Monitor expenditures and financial performance, ensuring value for money and accountability.
