Key Responsibility Areas (KRAs)

The Administrative assistant in the Academic Affairs Department will provide comprehensive administrative support to ensure the smooth functioning of student management, classroom support, bill processing, student registration, and student data management. The ideal candidate will be highly organised, detail-oriented, and possess excellent communication skills to effectively collaborate with students, faculty, and administrative staff.

Student Data Management & ERP Handling

  • Assist in managing student records and ensuring their accuracy and confidentiality. Manage and update the student information system (ERP).
  • Provide support and guidance to students regarding academic procedures and policies. Handle student inquiries and resolve issues promptly and efficiently.
  • Ensure the security and integrity of student data.
  • Collaborate with IT staff to troubleshoot and resolve ERP-related tasks.

Classroom Support

  • Schedule and coordinate classroom activities and resources.
  • Ensure classrooms are properly set up and equipped for instructional purposes.
  • Assist faculty with classroom technology and materials as needed.

Bill Processing

  • Process invoices and bills related to the academic department.
  • Maintain accurate financial records and documentation.
  • Assist in budget preparation and monitoring of departmental expenditures.
  • Liaise with the finance department to ensure timely payments and reconciliation of accounts.

Student Registration

  • Coordinate the student registration process each semester.
  • Maintain and update the student registration database.
  • Assist students with registration issues and provide necessary support.
  • Ensure compliance with registration policies and deadlines.

Student Data Management

  • Manage and update the student information system.
  • Generate reports and provide data analysis to support academic decision-making.
  • Ensure the security and integrity of student data.
  • Collaborate with IT staff to troubleshoot and resolve ERP related tasks.
  • Prepare student enrolment list for remedial, electives, and regular courses and map them on ERP.

Reports

  • Develop and maintain regular reports on students and faculty data analysis.
  • Present findings in a clear and understandable manner to both technical and non-technical audiences.

Continuous Improvement

  • Stay current with industry trends, best practices, and emerging technologies in data analysis.
  • Recommend and implement process improvements to enhance the efficiency of the office.
