About Office of Administrative Affairs

The Administrative Affairs office creates, encourages, and maintains an environment that supports, develops and sustains the wellbeing of the University’s employees, students, and the larger community of its stakeholders. The major functions of the Office of Administrative Affairs include but are not limited to the following:

  • Provide administrative support services to all offices of the University
  • Manage stock of office supplies and places orders when necessary
  • Manage travel & stay arrangements
  • Facility Management at University campus and University Hostels
  • Building repair & maintenance
  • Event management, Workshops/Jury Management

Required Education Qualification and experience

  • Bachelor’s degree in Fire Science, Safety Management, or a related field.

Years of Experience

5-7 years of extensive experience in fire safety management, preferably in a large institution or university setting.

Key Responsibility Areas (KRAs)

Fire Safety Programme Management

  • Develop, implement, and maintain comprehensive fire safety programmes across the university.
  • Establish fire safety policies, procedures, and emergency action plans.
  • Ensure compliance with local, state, and federal fire safety regulations.

Fire Risk Assessment & Inspection

  • Conduct regular fire risk assessments of all university buildings, facilities, and operations.
  • Oversee the inspection of fire protection systems, such as fire alarms, sprinklers, extinguishers, and emergency lighting.
  • Identify and address fire hazards, ensuring immediate action to mitigate risks.

Training & Education

  • Develop and deliver fire safety training programmes for staff, students, and faculty.
  • Organize fire drills and other emergency preparedness exercises regularly.
  • Educate the university community on fire prevention, safety protocols, and evacuation procedures.

Emergency Response & Preparedness

  • Lead the university’s emergency fire response efforts.
  • Develop and maintain fire evacuation plans for all campus buildings.
  • Coordinate with local fire departments and emergency services to ensure effective response in case of a fire emergency.

Compliance & Reporting

  • Ensure compliance with fire safety regulations and standards.
  • Prepare reports on fire safety compliance, inspections, and incidents for university administration and regulatory bodies.
  • Maintain accurate records of fire safety equipment, inspections, and fire drills.

Fire Incident Investigation

  • Investigate fire incidents and accidents on campus.
  • Analyze the causes of fire incidents and recommend corrective actions to prevent future occurrences.
  • Collaborate with law enforcement and fire authorities during investigations.

Fire Safety Equipment Management

  • Ensure all fire safety equipment, including extinguishers, alarms, and sprinkler systems, is properly maintained and functioning.
  • Manage the procurement, installation, and testing of fire safety systems and equipment.
  • Oversee contracts with external fire safety vendors and service providers.

Collaboration & Stakeholder Engagement

  • Work closely with facilities management, environmental health and safety, security, and other university departments to promote fire safety awareness and preparedness.
  • Liaise with local fire departments, regulatory agencies, and insurance companies to ensure compliance and preparedness.

Health & Safety Regulations

  • Ensure that all fire safety practices align with overall health and safety regulations.
  • Conduct regular reviews of fire safety protocols to ensure continuous improvement.

  • Proven experience in fire safety management, preferably in a large institution or university setting.
  • Strong knowledge of fire prevention techniques, fire protection systems, and emergency response protocols.
  • Ability to lead emergency response efforts and train others in fire safety procedures.
