  • Graduation degree or equivalent, preferably from a Design or Architecture background

  • Minimum of 3 years of experience as an executive assistant, preferably in an academic or higher education setting.
  • The Executive Assistant to the Provost Office will be responsible for providing high-level administrative support to the Provost. The EA will serve as a liaison between the Provost and school leads, other executives, faculty members, staff, and external constituents, and will manage the day-to-day operations of the office.
  • Manage the Provost’s calendar, schedule meetings, and coordinate appointments, travel arrangements, and accommodations.
  • Prepare and edit correspondence, reports, and other documents as directed by the Provost.
  • Coordinate and facilitate communication between the Provost and other executives at the university and external constituents, including responding to inquiries, phone calls, and emails on behalf of the Provost.
  • Plan and coordinate events, meetings, and conferences hosted by the Provost’s office, including managing logistics.
  • Assist Provost with coordination, meetings, and other related events with International Partners.
  • Supervise administrative staff and student workers in the Provost’s office, providing guidance, training, and support as needed.
  • Conduct research and analysis on various topics and issues as requested by the Provost.
  • Maintain confidentiality and exercise discretion when handling sensitive and confidential information.
  • Strong organizational, administrative, and communication skills.
  • Excellent computer skills, including proficiency in Microsoft Office Suite and Google Workspace.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proven ability to exercise discretion, maintain confidentiality, and work with sensitive information.
  • Strong interpersonal skills and ability to work collaboratively with a diverse group of people.
  • Working Conditions: The Executive Assistant to the Provost’s Office will work on a full-time basis, with occasional evening or weekend work required.
